Cancellation Policy

If you are unable to make your appointment, it is required that you give notice to the therapist at least 24 hours in advance so that they may reschedule that time for another client. You will be charged half the price of the treatment for less than 24 hours notice, and full-price of the treatment for a "no-show". This will be charged to the card on file used to book your appointment. If we are unable to charge the card, the cost of the "late-notice" or "no-show" fee will be due before or at the time of the next service with no further services being rendered until payment is received. If you are using a gift certificate or Groupon, your voucher will be redeemed in the event of either a late-cancellation or no-show. If the voucher is unable to be redeemed, the above conditions will apply. Exceptions will be made for emergency situations only and at the therapist's discretion.

Please note that if you have multiple instances of emergency medical or familial reasons for late-canceling or missing your appointment and ask for the fee to be waived, we may flag your account from booking in the future. We understand that emergencies happen, but if it becomes a regular occurrence we reserve the right to refuse service indefinitely or until a fee is paid.

Your appointment is your responsibility. Once booked, you are responsible for any communication or rescheduling that needs to happen in the appropriate window so the therapist may book another client for that time. Not receiving email reminders from the scheduling system is not a valid reason for waiving late-cancel and no-show fees. Please check that you receive a confirmation email (check your spam folder!). If you are unsure whether you have an appointment scheduled, please reach out via text or email RIGHT AWAY so that the therapist may either confirm and resend the confirmation email, correct any typos that may have caused the issue, or book you for the desired time if there was a glitch and the booking didn’t go through. If you do not receive a confirmation email and have not communicated with the therapist, you do not have an appointment.

If you do receive an email confirmation, please immediately put the appointment in your calendar or whatever system you use to track your appointments. Once the booking is confirmed, it is your responsibility to make it to your appointment. Our system will send an automated reminder email about 48 hours before your appointment (enough time to reschedule if needed), however this is simply a courtesy. The therapist will not personally text you to remind you of your appointment, please do not ask for personal reminders and instead utilize whatever means work best for you to remember your appointment.

We do NOT offer refunds for late-cancel or no-show fees. If there is valid reason to have the fee waived, it must be communicated to the therapist within a reasonable timeframe (i.e. several days from the incident). If we were able to charge the fee to a card on file and you give good reason for the fee to be waived, we will not refund the amount, but we will put it toward the price of a future service. Again, this is at the therapist’s discretion on a case-by-case basis and we do not guarantee that we will waive or credit the fee to a future service should you give reason within several days of the incident.

We understand that emergencies happen and will be as accommodating for such situations as possible. However, we cannot waive or refund Late-Cancel/No-Show fees weeks or months after the missed appointment. Please understand that this is to keep things running smoothly for both clients and therapist so that we may offer you all the highest quality service possible. If you have any questions or issues with our policy, please email lmooore@synaestheticbodywork.com and we will be happy to help you further.

As of 9/22/23 we are no longer offering extensions on expired packages or gift cards. In rare and extreme circumstances such as hospitalization, human death in the immediate family, etc., exceptions may be made, but only on a case-by-case basis and at the therapist’s discretion.
